Overview
Some Dealer Management Systems (DMSs) support related repair orders (ROs), enabling new ROs to be created from an existing one. This is especially helpful when repair work needs to be divided across different invoices—for example, separating warranty items from customer-pay items. To streamline the tracking of repair orders, related RO Number(s) can be displayed in the related case for reference.
Karmak Fusion Alternate Billing and RO Visibility
Karmak offers the option to assign an alternate billing account, allowing specific repair line items to be billed separately. While creating Alternate ROs can simplify financial tracking, the visibility of related ROs in Karmak is limited from the original RO view.
Related RO Number(s)
When the Related RO feature is enabled in Karmak, then by our support staff:
During the case export process, a request to Karmak to retrieve any related RO numbers is triggered, and again when the case is closed, including auto-closed cases.
Related ROs do not need to be closed in the DMS to be returned.
For example, warranty-related ROs often remain open in Karmak longer than customer-pay ROs and will be returned in the request.
Any related RO Number(s) returned will appear in the application near the the original RO number, improving visibility and traceability.
These Related RO Number(s) may or may not be linked to other cases at your location, as this list is sourced from Karmak. The goal is to provide an easy way to find the Related RO's for a given case/RO, which can then be used to search Karmak when needed.

Administration
Currently, this integration is available for Karmak, where it is referred to as Alternate RO Numbers. For more details, contact Karmak, as this feature must be activated in Karmak before the integration can be enabled for your location.
Once Karmak has enabled the integration an Administrator or Service Manager can enable this feature.
Admin > Customize Your Database > Location Information > External Interfaces > Other Optional Settings
Change the seelction to ENABLED
Click the SAVE EXTERNAL INTERFACES button
This documentation was recently updated to clarify that related RO retrieval occurs both during case export and case closure (manual or auto-close), even if related ROs remain open in the DMS.
